The opportunity
 
The purpose of this position is to manage company’s corporate headquarters front office including: reception, client relationships, office facilities, company purchases and supplies, mail room operations and business meeting organization. As well as assist and coordinate the smooth running of the Accounts Receivable.
 
To be successful
 
  • Some college, no degree required;
  • Experience: 3 + years’ experience in professional office administration
  • Desired but not required: 1+ year experience in accounting
  • Ability to handle stress & meet deadlines
  • Data entry required as part of job

SPECIFIC DUTIES AND RESPONSIBILITIES
 
Front Office / Administrative
 
  • Provide valuable professionalism and reception services to office guests. Handle pressures of demanding and overlapping tasks efficiently and confidently.
  • Manage site office facilities and vendor relationships for all contracted service companies (including but not limited to copier, phones, etc.)
  • Manage company mail room operations including the organization of dozens of express mail pickups and deliveries each day.
  • Manage company office and kitchen supplies including ordering, receiving, and organizing a master inventory
  • Generate, maintain, and distribute updated phone lists for the company.
  • Schedule conference rooms arrange business meals and assist with company events
  • Maintains files and records in accordance with internal procedures
  • Receives and screens visitors and telephone callers
  • Responds to routine requests for information and refers more complex requests to appropriate staff members.
  • May prepare complex correspondence, reports, presentations and printing booklets, manuals, etc.
  • Provide administrative support and project assistance for all company departments as needed
  • Trusted with confidential employee information, master keys, etc.Coordinate accommodations for visitors
 
Finance Administrative Support
 
  • Send out Invoices/Statements/CN to customers
  • Enter Cash Receipts
  • Follow up for remittance (as necessary)
  • Fill out W-9s (as necessary)
  • Monitor and coordinate customer questions/problems
  • Maintain contact list
  • Help maintain new customer accounts in system
  • Credit application and Reference Checks for new customers
 
Job Type: Full-time
 
Pay: $19.00 - $23.00 per hour
