The Human Resources Generalist reports to the HR Shared Services Manager and lends their HR expertise to providing administration and service support to the HR department and IMT Group facilities. The role will be responsible for assisting with day-to-day administration and operations of all human resources functions and activities. The position assists with research and implementation of various projects and initiatives and plays an integral part in ensuring the accuracy of records and reporting. The HR Generalist is expected to provide practical, consistent and proactive support and direction in advising employees and managers on HR procedure, policies, best practice and legislation.

Reports To: HR Shared Services Manager
Experience/Proficiency: 3-5 years’ experience in human resources is required
Education: Degree or diploma in human resources or business, CHRP/CHRL or SHRM is an asset
Hours: 37.5

  9. Strong presentation, training and facilitation skills would be an asset.
  10. Demonstrated knowledge of Ontario Employment Standards Act, AODA and Health and Safety legislation.
  11. Proficient with Microsoft Office (Word, Excel, Outlook, PowerPoint, Access).
  12. General InDesign experience and social media skills would be an asset.
     
Responsibilities:
  1. Assist with Cambridge office employee inquiries, offering basic information on leaves of absence, holidays, hours of work, responding to employee questions.
  2. Develop trusting relationships with employees and management that support company values.
  3. Practices discretion and confidentiality of associate information according to privacy and employment legislation.
  4. Proactively raise issues with senior management, identify practical solutions to complex and diverse HR issues, and recommend appropriate action plans.
  5. Provide functional and administrative support to the HR Shared Services team in a highly professional manner.
  6. Act as part of a team provide back up for reception duties when necessary.
  7. Ensure that HR efforts within areas of responsibility are aligned with IMT strategy.
  8. Coordinate and maintain the HR newsletter and maintain employee bulletin board, keep communications innovative and encourage facilities to participate and generate ideas for future newsletters.
  9. Be an active member of the Health and Safety Program and meetings for the Cambridge office. Keep current on legislative updates to maintain compliance for facility audits.
  10. Assist with audits of facilities to ensure accuracy of information and compliance for ESA, Health and Safety and Environmental legislation.
  11. Administer HR related documentation, including employment contracts, Controlled Goods Security Assessment forms and references.
  12. Track training and acknowledgement forms in accordance with training guidelines.
  13. Assist with the development of various training programs ensuring adult learning principles are adhered to and a transfer of knowledge is shown.
  14. Maintain standard policy and procedures and distribute to employees as required, assist in coordinating annual review to update policies and procedures with all staff and update employee training information for acknowledgement.
  15. Review and provide recommendations to HR Shared Services Manager for changes to HR policies in compliance with changing or new legislation.
  16. Maintain professional and technical knowledge by attending educational workshops, review professional publications, establish personal networks, and participate in professional groups.
  17. Prepare and maintain HR spreadsheets, forms, templates, reports and metrics. Assist in ensuring the HR database is up to date and complies with relevant legislation. Play an integral part in ensuring the accuracy of records, files and reporting.
  18. Prepare reports and analytics on data such as new employee analysis, employee engagement survey results and performance management results, staff turnover, references, cost per hire, training hours per person, etc.
  19. Collaborate with the HR Shared Services team on the compilation, distribution and analysis of annual employee surveys.
  20. Assist in the development of a talent strategy for IMT Group, review and maintain.
  21. Use various recruitment strategies and channels to conduct the full recruitment cycle in order to attract and hire both active and passive candidates.
  22. Maintain recruitment processes and service standards for all of IMT facilities and assist in all parts of the recruitment process as needed.
  23. Ensure job descriptions are kept up to date and NOC is accurate, create new job descriptions when necessary.
  24. Responsible for preparing, coordinating and facilitating orientation sessions for new employees.
  25. Maintains and orders stationary and office supplies.
  26. Assisting in coordinating social activities and the organization of company events when necessary.

Working Conditions:
  1. Office environment.
  2. Travel to other IMT Group locations is required.
  3. Exposure to manufacturing plant and warehouse.
