​BASIC FUNCTION: 
 
Responsible for warehouse activities to ensure efficient utilization of facilities for storing and distributing material goods. Assist in coordination of delivery schedules with shippers and customers. Ensure that incoming material is inspected for conformity with order specifications and checked for defects. May implement improvements in warehouse practices to promote efficiency, faster service, and lower costs.​
 
RESPONSIBILITIES:
 
  • Understanding of MS Office (skills including word processing, spreadsheets and graphics). Creates  presentations and reports
  • Monitor backorders and update Purchasing Orders on SAP, as needed. 
  • Assist with​ Purchasing related questions and input, when required; research SAP to provide ETAs/updates & pertinent information regarding inbound orders.
  • Manage spare parts inventory for the plant by placing orders, receiving parts, issuing out and requisitioning spare parts while working with purchasing personnel to maintain adequate stock levels and complete cycle counts.
  • Administratively prepare parts to be returned and / or sent out for repair.
  • Maintain the overall cleanliness and organization of the stockroom.
  • Assist purchasing agents with purchase documents, and resolving P.O. issues.
  • Troubleshoot and resolve purchasing related problems.
  • Resolve supplier invoices discrepancies, as they occur. Establish general communication with a supplier to request documents, such as COA's or invoices.
  • Back up the shipping supervisor when needed including task coverage as well as end-of-month closing work.
  • Ensures all activities are conducted within the applicable guidelines of GMP's, ISO 9001:2000 standards as they apply to the production of Food Grade and USP products.
  • Organizes work load to comply with deadlines and priorities, works independently to complete department or unit functions and prepare correspondence, reports, forms.
  • Use bi-lingual (English/French) skills to translate material, as needed.
  • Participate as a team member by maintaining professional relationships with other staff, providing regular back up coverage and clerical support as requested, and actively participating in staff meetings.
  • Coordinate shipment requirements with customer service and plant operations to replenish inventory levels. Work closely with warehouses and terminals to receive shipments into inventory. Conduct monthly reconciliation of inventory based on facilities' inventory statements vs. Omya's inventory reports
  • Conduct regular interval cycle counting and assist in performing annual physical inventory counts and audits as needed. Manage on-hand inventory at terminals and warehouses. Responsible for inventory turns, recommended inventory levels and re-order points; Establish re-order points to ensure manageable levels of safety stock while also maximizing inventory turns. Interact with site management ensuring compliance to supply chain policies.
  • Ensure maintaining up-to-date stock records in the system; use inventory management system and operate industrial automation system. Retrieve stored information to respond to inquiries (for example on inventory levels or delivery schedules).
  • Perform other routine clerical activities according to the organization's established procedures, e. g. updating stock cards and inventory records; and completing receipt, transfer, delivery, and dispatch forms.

Candidate profile requirements
 
​​​QUALIFICATIONS:​​
 
  • Material Management Diploma preferred and at least ​3-5 years of relevant experience, or an equivalent combination of education, training and experience is required. 
  • Knowledge of standard inventory management practices and excellent communication skills both written and verbal in French and English languages. 
  • Ability to develop rapport with customers and carrier vendors. S​trong computer skills required with knowledge of SAP, MS Office and strong organization, time management and planning skills.  Attention to detail.
  • Ability to prioritize and manage multiple ongoing assignments and regularly perform under stress. Strong customer service orientation and ability to work safely with required equipment and products.
  • Results oriented; good analytical and problem-solving skills. Perform routine but infrequent lifting of boxes up to 40-50 lbs.​
