As the service coordinator you will support the Oakville Service department by managing the day to day operations of the Service Department by scheduling service calls, coordinating the activities of our team of technicians, and for providing an exceptional customer service experience to both internal and external clients.  You will be a part of ensuring the continued growth in the department by meeting the highest level of customer’s expectations, internally and externally through commitment to quality and on time delivery of service.  
 
RESPONSIBILITIES
 
As a Service Coordinator a summary of your overall responsibilities is:
 
  • Scheduling and dispatching service technicians for service calls
  • Coordinate inspection/service requests for customers
  • Scheduling calls with assigned technicians, generate work orders and entry of service job details into the field service calendar
  • Ensure data in SCAN/ERP is accurate and up to date
  • Timely and accurate completion of work orders
  • Managing work orders on a daily basis
  • Receiving or issuing warehouse transfers (WT) internally to support parts needed for repairs
  • Actively participate in training for the new service software(IFS)
  • Using Salesforce to create accounts, contacts and cases
  • Other duties as assigned
 
QUALIFICATIONS:
 
  • Post-Secondary education in business administration or equivalent work experience
  • Minimum of 3 years’ experience scheduling mobile service is an asset
  • Strong computer skills
  • Detail oriented with the ability to stay on task, schedule and work with sense of urgency
  • Must have excellent organizational skills with the ability to multitask supported by good admin skills and document control
  • Positive nature working in a team environment
  • Excellent customer service skills and telephone manner
  • Ability to work under pressure, handle emergency calls and meet deadlines
 
PHYSICAL REQUIREMENTS
 
  • Regular intervals of standing, sitting, walking or climbing stairs
  • Ergonomic issues from sitting 90% of the time
  • Lifting of equipment up to 50lbs
  • Eyestrain from a computer screen and specification details 100% of the time
